How This Team Hired 20 Entry-Level Roles—Fast (And Cut Overtime)

Client Overview

This member employs between 200-300 team members. Despite having a well-developed HR department handling employee relations, benefits, and compensation, they turned to WorkSpring for assistance with recruiting for key entry level positions within the organization.

The Challenge

During multiple conversations with the member, it was determined that assistance would be needed with recruiting for a large number of entry level positions in a quick/tight timeframe due to project expansion.

Our Solution

WorkSpring partnered directly with the HR Department to help put together a recruitment plan to fill these entry level positions. The following steps were put into place:
 

  • Identifying the need – analysis showed that the current team was understaffed by approximately twenty entry level positions, which incurred extensive overtime.
  • Job analysis and description – a review of the key responsibilities was conducted and job descriptions and job postings were updated to reflect changes made.
  • Recruitment methods – a hybrid recruitment strategy was developed including posting internally on Company’s Intranet and website, various job boards, and local University career portals. The Company implemented an Employee referral program (with reward incentive), so this was announced and promoted extensively to the employees.
  • Screening of candidates – over a hundred applications were received to review for minimum qualifications and skill set. Phone screenings were done with candidates that met the qualifications. A shortlist of candidates were invited for an interview with HR and supervisors.
  • Interviews– consistent interview questions were used which included both behavioral and situational questions.  
  • Selection and job offer – candidates were selected by the organization and WorkSpring assisted with the creation and delivery of offer letters to the selected candidates.
  • Onboarding and training – WorkSpring assisted with the set-up of onboarding and training schedules where new hires went through a complete onboarding process and an initial 2-week onsite training.

The Results

New hires that started employment and successfully completed the required training due to the recruitment efforts were at approximately 85%. There was a reported improvement in the workload balance, and overtime for current employees was greatly reduced. Customer satisfaction increased as well as there were less delays in service. Based on the success of this process, another similar recruitment effort to fill the remainder of the openings was being planned for the following quarter.
